Overview

The Clinical Coordinator provides leadership in curriculum development, planning, coordinating, staffing, and training in the clinical area under the guidance of the Program Director and Director of Education.  He/She acts as a liaison between the academic program, the students and practicum training sites.  Clinical Coordinators also act as program instructors. The Clinical Coordinator is responsible for organization, administration, continuous review, planning, development, and general effectiveness of clinical and externship experiences for students enrolled in the medical assisting program.

Qualifications

Experience Required:

  • Minimum:

⁻           Bachelor’s Degree or equivalent work experience

⁻           Certification or registered designation in field of instruction (as required by industry)

⁻           2 years of experience in instruction or advisement in field of instruction

⁻           2 years of industry experience

  • Preferred:

⁻           3 years of experience teaching in a post-secondary education environment

⁻           2 years of experience working with or in extern sites, placing students, and coordinating related documents

  • Ability to inspire students to the highest level of achievement in preparation for meeting employer expectations.
  • Knowledge of best practices in practicum program and curriculum development
  • Ability to prioritize and quickly resolve issues.

  • Knowledge of the federal Department of Education, state, local and accreditation standards, policies and procedures.

Responsibilities

     Oversees Student Extern and Clinical Activities

  • Selects and approves appropriate clinical sites
  • Provides orientation for on-site supervisors.
  • Manages the extern activities by making sure all students are placed in appropriate clinical sites prior to the start of the term.
  • Maintains a good working relationship with key personnel at all of the clinical sites.
  • Provides oversight of the clinical experience, including on-site assessment of student experiences and the quality of learning opportunities at least once during each term students are assigned to the clinical site.
  • Maintains a log of all clinical visits and contacts made via phone, e-mail, and written correspondence.
  • Develops additional clinical affiliations for student clinical rotations.
  • Maintains a database of clinical affiliate data.
  • Clearly communicates, through written documentation, student extern placement and student expectations at externship.
  • Maintains properly documented clinical files for each student.
  • Ensures students are properly prepared before going to clinical sites.  Prepares action plans for those who are not properly prepared.
  • Participates in each term’s New Student Orientation Program and Program meetings. Assists with the career development of students in the clinical area.
  • Meets with all students prior to beginning work in the clinical area to orient the student to the college’s expectations.
  • Provides or arranges for student tutoring and lab time when indicated.
  • Assists in the publicizing and dissemination of information about the program.
  • Partners with admissions staff in recruiting students.
  • Assists with scheduled program review activities.
  • Oversees the education of students who are new to the practicum/internship search processes and practices.
  • Manages the flow of information regarding students’ progress, as well as problems, to the academic department chair, faculty, and/or practicum/internship sites.
  • Provides student advising and program-specific guidance pertaining to student performance at externship.
  • Refers students to appropriate staff for non-academic problem resolution.

      Instructs Students

  • Develops instructional plans and assists students in achieving requirements of the program.
  • Evaluates student performance with sufficient frequency to provide timely and valid feedback to both students and the instructors.
  • Maintains grade books in sufficient detail to document clearly learning progress and achievement.
  • Occasionally instructs Medical Assisting classes.
  • Teaches classes with consideration given to contact hours, independent studies, new course preps, and assigned administrative activities.

     Participates in Departmental and Professional Development Activities

  • Assists the Program Director with regular weekly day and evening faculty meetings.  Meeting topics may include improvement of course offerings, methods of instructional delivery, selection of texts, and such other purposes which serve to improve the quality of the instructional program.  Document all meetings.
  • Provides information to all departments as trends and changes in clinical site availability occur.
  • Participates actively in a minimum of one professional organization within the community.
  • Attends faculty meetings and in-service programs.  Maintain a record of professional development activities.
  • Maintains current personal knowledge of federal, state, institutional regulations, and accreditation standards related to program area.
  • Participates in preparation of government and accreditation reports and ensure their timely submission and accuracy.
  • Collaborates with peers and associates to ensure coordination of interdepartmental activities.
  • Assists the Director of Education and Program Director in planning program budgetary needs.
  • Completes special projects and other duties as assigned by the Campus Director, Director of Education or Program Director.

      Manages Curriculum and Instructional Materials

  • Assists in the development, implementation, evaluation, review, maintenance, and effectiveness of the program’s clinical curriculum.
  • Assists the Program Director to ensure that the curriculum meets employer needs and course performance objectives are current.
  • Develops the medical assisting program to meet program accreditation requirements and makes recommendations to revise curricular offerings.
  • Participates in Advisory Board Meetings.
  • Reviews, evaluates, and recommends, in coordination with Instructors, new instructional texts, materials, hardware, and software items for the program and Library/Resource Center.
  • Provides input into creating the master schedule regarding externship rotations and making sure all the students will have clinical sites.
  • Submits recommendations for textbooks and related instructional materials for review.
  • Ensures that all instructors have access to the most current textbooks and instructional materials.
  • Provides projected course offerings for the program to the Director of Education on a quarterly basis.
  • Schedules courses and instructors on a quarterly basis while ensuring appropriate faculty loads and classroom utilization.
  • Recommends methods for measuring student attainment of student learning outcomes.
